Leaked: The party planner's checklist we use for every birthday

Every time we sit down to plan a birthday at Wondershop, we go through the same 8-step checklist. It doesn't matter if the party is for 15 kids at home or 80 guests at a banquet hall. The basic process is always the same!

We're sharing it here exactly as we use it. No fluff, no filler. Just the actual things a professional party planner thinks through before every celebration.

Step One

The Interview: ask the birthday star first

The Interview. Before anything else, ask the birthday star: what theme do they love right now, and how many friends do they want there?

Before any planning happens, we sit down with the most important person in the room: the birthday child. Not the parents. The child.

Kids are usually very clear about what they want. The theme they name at age 6 or 8 or 10 is their current world and a birthday that reflects their world is the one they remember for years.

💡 Wondershop Tip! Parents often want to "surprise" the child with a theme they think the child will love. That's sweet, but risky. Ask the child. You'll get a clearer answer, and the child will feel genuinely celebrated rather than managed.

Step Two

Plan the Space: before anything else is booked

Plan the Space. Sketch a quick layout for décor, cake cutting, welcome board, seating, catering and tables, create a rough timeline, and plan waste management.

Once you know the theme and rough guest count, spend 20 minutes thinking through the physical space. Not decorating it, just sketching how it'll work. And don't forget, plan for waste management!

💡 Wondershop Tip! Create a rough party timeline too! When guests arrive, when activities start, when the cake is cut, when food is served, and when it winds down. A party without a timeline often runs 45 minutes long and ends chaotically.

Step Three

Host & Music: the backbone of a great party

Host and Music. A great host and the right music change the energy of the party. Create a playlist with the birthday child's favourite songs and keep small gifts ready for game winners.

The host keeps the narrative going, manages the activity flow, handles the kids during transitions, and makes sure nobody is standing around looking lost. Without a host, that job falls on you. And you have enough to do.

For music, don't outsource this to a generic playlist. Create a playlist with the birthday child's favourite songs, the ones they know the words to, the ones they dance to at home.

💡 Wondershop Tip! Keep small prizes ready for game winners like stickers, small toys, or chocolates. The host will need them throughout the party.

Step Four

Engagement Plan: a room full of excited kids needs things to do

Engagement Plan. Plan a mix of fun activities like DIY crafts, tattoo stations, face painting, art corners, popcorn or candy stations.

Plan a mix of engagement setups that work simultaneously so kids can drift between them naturally:

  • DIY crafts: keychain-making, bracelet stations, tote bag painting
  • Tattoo stations: theme-matched temporary tattoos are universally loved
  • Face painting: a classic that never fails, especially for ages 3–9
  • Art corners: colouring sheets, sticker art, or mini canvases
  • Food activity stations: popcorn bars, candy stations, or cookie decorating
💡 Wondershop Tip! Don't plan activities that require all children to stop and participate at once. It's impossible to herd 20 excited 7-year-olds into the same place. Stations they can visit freely work far better.

Step Five

Plan the Décor: get specific before setup day

Plan the Decor. Look up reference images and decide balloon colours, backdrop style, decor areas, cake table cover and venue handover timings.

Vague decor briefs lead to last-minute surprises, and last-minute surprises on the morning of a party are not fun. When you sit down with your event planner, come prepared with:

  • Reference images: Pinterest boards, Instagram saves, or screenshots from parties you've loved
  • Balloon colour palette: specific shades matter more than you think
  • Backdrop style: single panel, 3-panel, balloon arch, fabric backdrop?
  • Décor zones: entrance, main wall, cake table, welcome board?
  • Cake table cover: colour, style, skirt or simple cloth
  • Venue handover timings: when can setup begin, and when must everything be done?
💡 Wondershop Tip! Visualising the full setup in advance, even a rough mental walkthrough, helps catch conflicts early, like a welcome board that won't fit a narrow entrance.

Step Six

Cake & Food: keep it simple, go with trusted vendors

Cake and Food. Keep it simple and go with trusted vendors. The cake is the centrepiece, so make sure the cake table setup and placement are planned as well.

For the cake: book your baker 3–4 weeks in advance, share a clear reference image, plan the cake table setup, and confirm delivery timing.

For food, the rule is: keep it simple and go with trusted vendors. Kids are not adventurous eaters at parties. They want familiar, finger-food-friendly food they can grab while running between activity stations.

💡 Wondershop Tip! Plan the cake-cutting moment into your timeline. It tends to get pushed later as the party runs long. Set a fixed time and tell your host.

Step Seven

Piñata: always a highlight, never an afterthought

Piñata! Always a highlight for kids. Plan the piñata shape, fillings, and bags for collecting the goodies.

The piñata moment is the most kinetic, most joyful, most chaotic moment in any kids' party. Three things to sort in advance:

  • Shape: match it to the theme. Custom shapes can be ordered 2 weeks in advance.
  • Fillings: chocolates, small toys, stickers, temporary tattoos.
  • Bags for collecting: this is the detail that gets missed. A small kraft bag or themed pouch for each child keeps the whole thing civilised and fun.
💡 Wondershop Tip! Position the piñata moment towards the end of the activity portion, just before cake as it creates a natural energy peak.

Step Eight

Return Gifts: organised, thoughtful, not an afterthought

Return Gifts. Set up a designated table for gifts and return gifts, and choose something kids will actually use to help avoid wastage.

Return gifts are the last thing guests take home and therefore the last impression your party makes.

  • Set up a dedicated return gift table: separate from food and activity areas, visible near the exit.
  • Choose gifts kids will actually use: a notebook, a water bottle, a small kit means your party is remembered every time they use it.
💡 Wondershop Tip! Label return gift bags with each child's name if you have the guest list. "This one's for you" lands very differently than "grab one from the table."
