Birthday planning in Mumbai has a rhythm. Leave it too late and you're choosing between a venue nobody wants and a baker who's already booked for three other parties that Saturday. Start too early and you're anxious for months. Eight weeks is the sweet spot.
This is the timeline we use when planning every Wondershop birthday — whether it's a home party for 15 kids or a banquet celebration for 80. Whether you're using our team or going fully DIY, this checklist will keep you ahead of every deadline.
The 8-week timeline
- Fix the date. Avoid school exam weeks, long weekends (venues book up fast), and clashes with other family birthdays.
- Set a budget range. Decide your rough total and how you want to split it — decor, food, activities, cake, return gifts. A good rule: allocate 30% to decor, 30% to food, 20% to activities, 10% to cake, 10% to return gifts.
- Shortlist venues. Home, society clubhouse, turf, restaurant private room, or banquet hall — decide the venue type based on your guest count and budget.
- Pick a theme direction. You don't need to finalise it yet, but having a shortlist of 2–3 themes helps venues and vendors give you accurate quotes.
- Estimate guest count. A rough number — exact RSVPs come later. Most Mumbai kids' parties range from 20–60 guests including parents.
- Confirm and book the venue. Popular venues in Mumbai fill up on Saturdays 6–8 weeks in advance. Don't wait. Pay the advance to hold your date.
- Finalise your theme. Once you've seen the venue, commit to a theme that works in that space. A jungle theme hits differently in a garden versus a banquet hall.
- Book your core vendors. Decor team, photographer, host, music or entertainer — book all of these at 6 weeks. These are the ones that run out of availability.

- Send invitations. WhatsApp e-invites are standard — send 4 weeks out and follow up with a reminder at 1 week. If printing physical cards, order now.
- Plan the food. Confirm the food arrangement — catering, home cooking, or a restaurant package. For kids' parties in Mumbai, finger foods + a main course + a birthday snack table works well.
- Order return gifts. If sourcing custom items (personalised notebooks, activity kits), order now — personalised items take 2–3 weeks.
- Plan the day-of timeline. Draft a rough schedule: setup time, guest arrival, activities, cake cutting, food, return gifts, wind-down. Share with your vendors.
- Collect RSVPs. Chase anyone who hasn't responded. You need a firm headcount for food, return gifts, and activity materials.
- Confirm headcount with every vendor. Update your decor team, caterer, and activity host with the final number.
- Brief the birthday child. Tell them what to expect — the theme, the activities, who will be coming. This reduces overwhelm on the day and builds excitement.
- Buy a few spares. Return gift bags (10% extra), balloon packs, and a small emergency kit (sellotape, scissors, safety pins, first aid).
- Confirm the day-of schedule with your photographer. Share which moments matter most — arrival, cake, activities, candid family shots.
- Print a vendor contact sheet. Every vendor's name, number, and confirmed arrival time on one page. You'll thank yourself for this at 8am on party day.
- Pack your party kit. Sellotape, scissors, safety pins, phone charger, a printed copy of the day's timeline, cash for tips.
- Confirm cake delivery/collection. Call your baker to confirm time, transport, and final instructions.
- Prep return gifts. Assemble, label, and bag everything. Label bags with a child's name if you have their list — it makes distribution smooth.
- Charge everything. Phone, camera, speakers — everything that needs power.
- Lay out the birthday child's outfit.
- Charge your phone to 100%.
- Confirm setup time with your decor team one final time.
- Go to bed at a reasonable hour. A tired parent at their child's birthday is a sad sight — and you'll miss the joy you planned so hard to create.
- Arrive 30–45 minutes before guests. Walk the space, check setup, flag anything with your team while there's still time to fix it.
- Greet early arrivals warmly. The first 10 minutes set the energy for the whole party.
- Let your team run the show. If you've booked a host, decor team, and photographer — trust them. Your job is to be fully present with your child.
- Take one quiet moment. Step back at some point and just watch your child in the middle of all the joy you built. That moment is why you did all of this.
Mumbai-specific tips
A few things that are specific to planning a birthday party in Mumbai:
- Saturday is the most contested day. If your date is flexible, consider a Sunday — venues are more available and vendors are less stretched.
- Start time matters. 11am–1pm works well for younger kids (avoids nap conflicts). 4pm–7pm works for school-age children. Avoid 12–3pm in summer months — it's simply too hot for outdoor setups.
- Plan for monsoon if booking June–September. Always have an indoor backup plan even if you're planning an outdoor setup. Mumbai monsoons are non-negotiable.
- Traffic buffer on party day. If you're collecting anything — cake, balloons, supplies — build in a 30-minute traffic buffer. Mumbai at 10am on a Saturday is reliably unpredictable.
- Parking at venues. Many Mumbai venues have limited parking. Flag this to parents in the invitation and suggest carpooling or auto-rickshaw drop for shorter distances.
